Invite teammates and manage invitations

Invite one or more teammates with the right role, review delivery, and manage pending invitations safely.

Humind lets authorized company members prepare several email invitations, assign a built-in or custom role to each invitee, send them together, and manage pending invitations from Settings. Invitations should follow an approved access decision, not precede it.

This guide covers the current multi-invite flow, role selection, partial email failure, pending-invitation actions, supervisor restrictions, and the review after acceptance.

How this fits into Humind

Humind access is scoped to a company and controlled by section permissions. Built-in roles cover common operating models, while custom roles support narrower access. The company owner remains a separate, protected responsibility.

Use least-privilege changes that still let a teammate complete their work. After changing a role or invitation, ask the teammate to refresh and confirm the pages and actions they can access instead of relying only on the administrator view.

Before you start

Access: Team write access is required. Supervisors can manage only operator invitations. Custom-role creation and broader role administration are hidden from supervisors.

  • Confirm the invitees' identities, company, responsibilities, and required access.
  • Review built-in or custom roles before entering email addresses.
  • Use a company-approved email address and offboarding process.

Step-by-step workflow

  1. Open the teammate invitation flow

    Open Settings, Company, Teammates and choose Invite. Enter a valid email address, select the role, and add the invitee to the prepared list. You can add several people before sending and assign a different role to each row.

    The form rejects invalid email formats and duplicate addresses in the same batch. Review every row rather than assuming the role selected for the next email applies to previous invitees.

  2. Choose least-privilege roles

    Use Admin for full company operation, Operator for Inbox, Contacts, and Merchant Assistant work, or Supervisor for operator work plus Agent report and limited operator team management. Choose a reviewed custom role when the teammate needs a different section matrix.

    The invitation menu shows role descriptions. Supervisors see only roles they are allowed to assign and cannot create a custom role from the modal.

  3. Send and review delivery

    Send the prepared invitations. Humind reports successful and skipped invitations. If some emails fail delivery, the modal retains those failed invitees so the sender can correct or retry them rather than assuming the whole batch succeeded.

    Do not create repeated invitations to work around a delivery problem. Verify the email address and use the pending-invitation tools.

  4. Manage pending invitations

    Open the Invitations tab to review email, assigned role, and sent date. Authorized users can resend or cancel an invitation. After a successful resend, the current interface applies a short client-side cooldown to reduce accidental loops.

    A supervisor can manage only pending operator invitations. If another role needs attention, ask an administrator or owner.

  5. Verify access after acceptance

    After the teammate accepts, confirm they appear in Active members with the intended role. Ask them to sign in, select the correct company, and verify the pages and actions needed for their work.

    Change an incorrect role through the active-member action when authorized. Do not ask teammates to share screenshots that include customer data or credentials.

Permissions and important caveats

  • Team write does not let every actor manage every target role; supervisors are limited to operators.
  • The company owner cannot be removed or demoted through ordinary member actions.
  • A resend cooldown in the current page is a user-interface guard, not a reason to spam retries.
  • Pending custom-role invitations count when deleting a role and may require reassignment.

Verify the result

Use this checklist before considering the work complete:

  • Every invitee has a verified email and approved role.
  • Delivery results and any retained failed rows were reviewed.
  • Pending invitations are canceled or resent through the Invitations tab rather than duplicated.
  • Accepted teammates can access exactly the company sections and actions they need.

Troubleshooting

The desired role is missing from the invite menu

Check your own authority. Supervisors can invite only operators. Ask an administrator or owner to assign broader or custom access.

Some invitations failed

Review the retained failed rows, correct the email addresses, and retry only those records. Check the Pending tab before creating another invitation.

The teammate accepted but sees the wrong pages

Confirm their active company and assigned role, then review the role matrix. Ask them to refresh or sign in again after a correction so navigation uses current permissions.
